Frequently Asked Questions
General Questions
- What is VisitAssist?
- VisitAssist is your personal assistant for medical conversations. It helps you and your family capture, organize, and share summaries of healthcare visits—so you never miss important details again. Instead of juggling loose notes, patient portals, or memory alone, VisitAssist keeps everything in one secure place for easy access and coordination before, during, and after appointments.
- Why would I need VisitAssist?
- Better care starts with being informed. But keeping track of health details across different providers can be overwhelming. VisitAssist gives you a clear, centralized way to capture what's discussed in medical visits, helping you stay organized and confident in conversations with your care team. Whether for yourself or a loved one, it's peace of mind in your pocket.
- Who is VisitAssist for?
- How does VisitAssist get information from my doctor's visit?
- It's simple! Before your appointment, you call the dedicated VisitAssist phone number using your regular phone. During the visit, just put the call on speaker. VisitAssist securely records the conversation *you* are having with your provider. That recording is the source we use to create your summary.
- Does my doctor's office need to do anything special or give permission?
- No. VisitAssist works entirely through your phone call. Your doctor's office doesn't need any special software, setup, or integration. As long as you can have your phone on speaker during the visit (which is usually fine), you're all set. We don't interact directly with their systems.
Caregivers & Legal Questions
- Do I need Power of Attorney (POA) to use VisitAssist for someone else?
- No, you don't. You can still use VisitAssist to help someone remember and share information from their medical visits. Power of Attorney or legal guardian status is only needed for making formal medical decisions or accessing HIPAA-protected records, which VisitAssist does not do. Our goal is simply to help you and your loved ones stay informed and on the same page. If you do have POA or are a legal guardian, you can indicate that during sign-up so future features (like EHR integrations) can reflect the right level of access.
- What's the difference between a caregiver and having healthcare Power of Attorney (POA)?
- What if I'm not sure whether I have POA or legal guardian status?
- That's okay! When signing up as a caregiver, you can select 'Not sure.' VisitAssist will still work for you. POA or guardian status only matters for making medical decisions or accessing HIPAA-protected records, which is outside of VisitAssist.
- Why do you ask if the person I'm helping is under 18?
- We ask about age to ensure we handle consent appropriately and safely. For users under 18, a parent or legal guardian must create and manage the account to comply with legal standards. Capturing this information from the start ensures we provide a responsible and secure service for all users.
- What does VisitAssist do with my POA or guardian information?
- We securely store it as metadata in your profile. It helps us support future features and ensure compliance if we integrate with medical systems. We never use this information to block your access or share it without your consent.
Privacy & Security
- Is my data secure?
- Yes. VisitAssist uses industry-standard encryption and access controls to protect your information. Your data is encrypted in transit and at rest, and we never share your information without your explicit consent.
- What security measures do you use to protect my data?
- We use encryption, access controls, and regular security assessments to keep your data safe. However, no system is 100% secure, so we encourage you to use strong passwords and safeguard your account.
- Does VisitAssist sell my data?
- No. We do not and will never sell your personal data or health information.
- How does VisitAssist use my data?
- Does VisitAssist share my data with third parties?
- Can I access or delete my data?
- Yes. You may request access to your data, corrections, or deletion at any time by contacting our support team. We will honor these requests in accordance with applicable laws and best practices.
- Will you share my data with law enforcement?
- We only share data with law enforcement when required by law. If permitted, we will notify you of such requests.
Account & Billing
- How do I cancel my subscription?
- You can cancel your subscription anytime from your account settings. Your subscription will remain active until the end of your billing period.
- Do you offer refunds?
- We generally do not offer refunds for subscription payments, but if you believe you were charged in error, please contact our support team.
Data Use & Compliance
- Is VisitAssist HIPAA compliant?
- HIPAA rules apply when healthcare providers share medical data with each other. Because VisitAssist is designed for individuals, caregivers, and advocates managing their own health information, different privacy laws apply. While VisitAssist is not a covered entity and not subject to HIPAA, we still follow strong privacy and security practices to keep your information safe. You stay in control of your data and decide who to share it with.
- Do you use my data to train AI models?
- We use de-identified data to improve our AI models and services. We do not use identifiable personal health information for training without your explicit consent.
- Can I use VisitAssist outside the United States?
- VisitAssist is designed for U.S. users. If you are outside the U.S., your data will be processed in the United States, where privacy laws may differ from your home country.
- How do I manage my email preferences?
- You can opt out of marketing emails at any time by clicking 'unsubscribe' in our emails or by contacting support.
State Privacy Laws
- Does VisitAssist comply with the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA)?
- While VisitAssist is not currently subject to CCPA or CPRA based on the thresholds defined by California law, we take privacy and data protection seriously. Regardless of legal scope, we voluntarily uphold rigorous data security and privacy standards—including strong encryption, access controls, and audit logging—because protecting your information is core to how we operate.
- Does VisitAssist comply with other US state privacy laws?
- We proactively align with the spirit of emerging state privacy laws, even if they don’t yet apply to us. While VisitAssist is currently exempt from most state-level privacy regulations based on our size and scope, we uphold strict privacy and security standards across the board. Our practices reflect the core principles of laws like those in Colorado, Virginia, and Connecticut: transparency, data minimization, user control, and protection by design. We’re committed to staying ahead of privacy requirements—not just checking boxes, but earning your trust every day.
